First steps after buying
From the invitation to your first sign-in, the manager console and inviting your team. For managers.
This guide is for you if you bought Cyberact and are setting it up for your organisation. There is a checklist at the end that gets everything ready in about a quarter of an hour.
1. Your invitation arrives by email
After your order you get an email with the subject You have been invited to Cyberact. It comes from Cyberact (support@cyberact.io) and tells you your role, which is Manager.
The invitation link is valid for 7 days and works once. The link doesn't sign you in by itself: the sign-in code is sent separately.

2. Sign in with an email code
- Open the link in the invitation. You see a page called Welcome to Cyberact.
- Press Send the sign-in code.
- An email called Your Cyberact sign-in code arrives. Type the code into Six-digit code and press Sign in.
The code is valid for 10 minutes and works once. There is no password.
Next time, go to app.cyberact.io, enter your Work email and press Send code.
3. Your first visit
The first time you sign in, Cyberact starts with an introduction. It takes a couple of minutes: you see how the lessons work and choose a few settings on the way, such as the language and whether you want to be on the leaderboard. You can change them later in your profile.
After the introduction, open Profile from the menu. Under Account there are two buttons:
- Open the manager console: how your whole organisation is getting on. Its pages are Overview, Compliance, People, Departments, Management summary, Lessons, Leaderboards and Settings. See The manager console.
- Users and access: where you add and invite people, change roles, and disable anyone who no longer needs access.
The console's figures start out empty. They fill in as your people complete lessons.
4. Invite your team
Open Users and access. At the top you see how many people are in. Paid business plans have unlimited users, so you can invite all your staff.
There are three ways to invite people.
One at a time
Under Add person, enter their work email and, if you like, their name, and choose a role: Learner or Manager. Leave Send an invitation link by email ticked and press Add person.
As a list of addresses
Under Add several people, paste a list of addresses: the recipients of an email, say, or a column from a spreadsheet. Separate them with line breaks, commas, semicolons or spaces; the form Name <address> works too. Choose the Role for everyone and press Preview. You see what will happen to each address, and nothing is saved until you confirm. A list can have up to 500 addresses.
From a CSV file
Under Import people from a CSV file, Download a template gives you a ready-made file. It has the columns email, name, role and department. The role and the department are optional, and the role defaults to learner. Save the file as UTF-8: in Excel, choose CSV UTF-8 (Comma delimited). Choose the file, press Preview, check the rows and confirm. A file can have up to 500 rows.
Once the invitations are sent
Invitations go out in batches of 25. If some are still waiting, Invitations has a Send the next 25 button.
Invitations also shows which invitations are still open. You can Resend an invitation or Withdraw it. A resent invitation gets a new link, and the old one stops working.
5. What your team sees
Everyone you invite gets their own email and signs in the way you did: the link in the invitation, Send the sign-in code, and the code from their email. An invited person becomes active the first time they sign in.
The first time, a learner goes through the same introduction as you. After that the app's menu has four items: Learn (paths and lessons), Daily (the daily quiz), Ranks (the leaderboard) and Profile.
A learner sees only their own progress. A manager also sees the whole organisation in the manager console.
Tell your team beforehand that the invitation comes from support@cyberact.io. Then nobody mistakes it for a scam, and people know to look in their spam folder.
Ready in 15 minutes
- Open the invitation and sign in with the email code.
- Go through the introduction.
- In your profile, press Open the manager console and look around.
- Open Users and access and check who is already in.
- Add a second manager.
- Tell your team that the invitation comes from support@cyberact.io.
- Invite your team one by one, as a list or from a CSV file.
- Check under Invitations that every invitation went out.
